How it works

The graduate’s path after the party

    The class graduates

    Once the graduation or commencement date passes, plus the configured window, the graduates of that class join the network. Without a date, a graduation year earlier than the current one counts.

    The person gets a profile

    Data comes from the graduate’s most recent record. The team records career path and contact preferences, and every change goes to the timeline.

    Leftover revenue shows up

    People who appear in the photos but did not buy are counted per class, and those who accept offers and have contact details go onto the outreach list.

    The milestone becomes a gathering

    The graduation anniversary enters the window, the reunion is created with the classes and guests are generated without anyone who declined reunions.

How the system behaves

10 decisions that explain everything else

They explain why the system sometimes does not do what you might expect, and why that is intentional.

Alumni are derived, not registered

An alumni table would be out of date within the first semester and would need an import to exist at all. An alum is a graduate whose class has already graduated, read on the fly, which is why the module opens with the whole network without anyone preparing anything.

Opt-out is filtered in the query

A warning on screen saying the person declined offers gets ignored the first time someone is in a hurry. Anyone who declined a contact type simply does not enter that audience, because the condition is in the SQL that builds the list.

There is no export without preferences

A spreadsheet is the shortest path to sending an offer to someone who opted out. Every export in the module respects the opt-out for the chosen goal and requires the relationship permission, not just the view permission.

No answer is not an opt-out

After the contract ends, the legal basis for a new offer is legitimate interest with easy opt-out, or consent. People who never answered can be contacted, with a way out in every message, and people who declined stay out until they change their mind.

The campaign audience is frozen

Records change: people switch email, decline offers, request deletion. Without saving the list at the moment of sending, nobody can explain why someone received it. Freezing saves name, contact and exclusion reason as of that moment.

Revenue is read, not copied

Galleries, orders and products already have an owner in the platform. The module shows what the alum has available and has not bought, and sends the action to the existing gallery and store, without keeping a second order list.

An estimated date beats a missing class

Many older classes only have a graduation year. Instead of dropping those classes from the milestone list, the system estimates the date in December and says on screen that it is estimated.

The module does not send messages

Inviting generates the list and the campaign freezes the audience, but sending goes out through Communications, WhatsApp or phone, and is logged here. Direct sending will come once there is bulk sending with reusable auditing.

A mentor must have opted in to careers

Picking as a mentor someone who declined career contact would be reaching that person through the back door. The server refuses it, and also checks that the mentee belongs to a class that has not graduated yet.

A deletion request removes people from the network

A deletion or anonymization request made in the privacy channel applies to relationships too. As long as it has not been denied, the person does not appear in the network or in any list generated from it.

The boundaries

Where post-graduation ends and the rest of the system begins

The module never keeps a second copy of anything. It reads what already exists and returns what it produced through the same path as the rest of the platform.

Classes

The alumni network is the class after its graduation date. Graduation date, commencement date and year come from the class record, and there is no other source.

Graduates

Name, contact, city and CPF come from the graduate’s most recent record. The module does not duplicate personal data, it only adds career path and preferences.

Galleries

Post-graduation revenue reads who was tagged in the photos plus product and selection orders. The offer takes the alum back to the gallery that already exists.

CRM

The referral becomes a pipeline lead with its source tagged. Without the CRM in the environment, referrals are still recorded and tracked here.

Communications

Reunion invitations and campaigns go out through the Communications channels. The module delivers the frozen list and logs the send.

Tickets

A reunion can be linked to an event in the ticketing module, so invitation sales follow the same path as any other event.

What gets calculated without anyone asking

There is no alumni load to schedule and no list to refresh. Each screen builds what it shows on the fly, from classes, records and galleries.

  • Who is an alumEach class’s reference date is compared with today minus the configured window, and graduates join the network once it passes.

A full gallery and no orders

The scenario

A medical school class had graduated eight months earlier. The gallery was published, facial recognition had tagged almost everyone, and half the class had never bought anything.

With the system

Post-graduation revenue showed how many alumni appeared in photos without an order and how many of them accepted offers and had contact details. The campaign was built with that class as the segment, the preview explained who was left out and the audience was frozen.

The result

The offer reached only the people who could receive it, the send was logged and new orders showed up in the gallery itself, with no parallel list.

The law class turns ten

The scenario

Three law classes that graduated the same year would reach ten years since graduation in six months, and the contact list was scattered across old group chats.

With the system

The milestones appeared on the reunions screen inside the configured window. The reunion was created with the three classes, linked to a ticketing event, and the guest list was generated without anyone who had declined reunions.

The result

Invitations went out through Communications, RSVPs and plus-ones were marked on the list and invitation sales followed the same path as any event.

The scenario

An engineering graduate, now a coordinator at a university, mentioned to the team that the new class did not have a graduation company yet.

With the system

The referral was recorded with him as the referrer, plus the institution, the program and the email of the class representative, and converted into a CRM lead sourced as an alumni referral.

The result

The sales rep got the lead in the first pipeline column, knowing where it came from, and the alum’s career path was updated on the profile.

The request to stop receiving everything

The scenario

An alum replied to a notice asking not to receive offers, but said she would like to hear about her class reunion.

With the system

The team marked an opt-out for offers and an opt-in for reunions on her profile. The next offer campaign left her out with the opt-out reason, and the reunion list included her.

The result

Her preference applied to both lists without anyone having to remember, and the timeline recorded when and through which channel the change came in.

Alumni relations terms, in plain language

The admin panel is written in Portuguese. If you came looking for industry terms from alumni management, this is what each of them means inside the system.

FAQ

The questions that come up when evaluating the module

Do I need to import a list of former graduates?

No. The network is built from the classes that have already graduated and from the graduates’ records. When a class passes its graduation date, its graduates show up on their own.

What about older classes with no graduation date?

They come in through the commencement date, and if both are missing, through a graduation year earlier than the current one. For milestones, the date is estimated as December of that year, and the screen flags the estimate.

Does the system send the campaign or the reunion invitation?

No. The module generates the list, freezes the audience and lets you export it. Sending goes through Communications or whatever tool the company uses, and is logged on the campaign with who sent it and how.

How does LGPD work after the contract ends?

Each person has an opt-in or opt-out for offers, reunions, careers and surveys. People who never answered receive messages with opt-out in every contact, people who declined are left out of that audience, and people who requested deletion leave the network.

Can alumni update their own data?

Today, career path and preferences are recorded by the team in the admin panel, with the data source. The alumni area in the app does not exist yet, but the preferences API has already been designed for it.

Do referrals require the CRM?

Not to record and track them. To convert them into leads, yes, and the CRM requires an email on the lead: without the referred person’s email, the conversion is refused with an explanation.

Where do photo sales come in?

In the gallery and store you already have. Post-graduation revenue only points out who appears in the photos and has not bought, per class, and who can be approached.
